Glossary, Terms and Conditions

Free .co.uk domain registration
Registration of your .co.uk will be free and for the first two years. On renewal of your domain name the charge is currently at £20.00 for a further two years. Registration of other domain names is also available at an additional cost, E.g. .com registration for two years @ £30.00 + VAT

Home Page
This is the landing page of your website which will display your website navigation, functions and welcome message

About Us (or Consultant Profile) page
A Consultant Profile page including your supplied written profile, supplied pictures uploaded and link to separate CV document if required.

Contact Us Page
A contact page typically includes a list of contact telephone numbers, addresses and email address along with an online contact form for the patient to fill out which is emailed directly to you. Each Consultant or Clinic will have different needs for their contact form.

Additional Web pages are professionally published with design and layout of your content supplied to us.

Once you have your website, you can have multiple email address E.g. info@yourdomain.co.uk or yourname@yourdomain.co.uk . You can either have emails forwarding to your private personal email address, access to Webmail (via a web browser) or a POP3 account which you can set up and use within Outlook.

Web statistics
Your website will be set up allowing you to check and analyse the web statistics with the award winning Google Analytics product, allowing to you see how much traffic, where the traffic is coming from, what search phrases people are using to find your site plus many other features.

Unique site design
Design & development covers consultancy, graphic design of your web site, page dynamics, multiple template creation, assistance in navigation and structure, training to ensure you can manage your web solution and content management system, testing and validation of your website to be supported by common browser types and compatible with all major industry standards.

Design will be taken from a written brief with two sets of amendments included.

Enquiry Management Tool
This facility allows you to capture the full history for the lifetime of your website of each patient enquiry that has been submitted by the contact form on your website. In addition, you or your secretary can add a patient to your records. The benefits allow you monitor marketing activity and also access which patient enquiries have booked a consultation and received treatment.

Videos via YouTube
Video on the internet is becoming more popular. One the best methods is to create a YouTube account and upload a video of a typical consultation or a video on a condition overview. The benefit of your video on YouTube is that you gain additional exposure. Your video can then be embedded in any page of your personal website via the Content Management System.

Website and online marketing may be one of the best methods to generate new patient enquiries - however there are additional methods that maybe of help to you. We have over a decade of experience working with large hospital groups, setting up groups and working with individual consultants. Your consultancy and marketing support will be a discussion on your requirements and recommendations of possible solutions.

Dynamic Content Management System (CMS)
An advanced CMS allows you to edit text, add pages, remove pages, add pictures, add links, add video, upload documents and much more. Designed specifically for the Medical sector , the Regency CMS system allows you to manage the content of your site yourself without any additional future costs.

The CMS licence is included with no annual renewal charge. The CMS is fully secure and can be provided with multiple passwords.

Our websites have been organically developed using the latest technology to allow you to easily update text and images.

Face-to-Face meeting
We come to you - anywhere in the UK at a time and place to suit you for consultation.

Logo development
Providing three to five designs options from your brief of a logo for your group or private practice.

Unlimited self added pages
With the CMS, if your site has been design with an organic navigation structure, you will have the ability to add unlimited pages to your website yourself.

Onsite Search Engine Optimisation set up
Setting up of your website to be optimised for up to ten keywords. With URL rewriting, sitemap generator, RSS feeds, robots.txt file, metatag editor (in cms), Clean and efficient code, and compliant with the latest SEO best practices.

News module
Latest news module for your website allows you to constantly add News general announcements to your website.

Calendar / Events
This facility allows you to show upcoming events on your website. When the event date is passed, the event is automatically removed from the site, so keeps your content fresh and relevant.

Video Content Upload facility
Advanced module to upload your own videos to your site, rather than using the YouTube embed code method.

Newsletter Facility
Allowing you to broadcast your branded emails directly to your own database of contacts that is held in the website CMS.

Members area
Secure area with user name, password, forgotten password facility and member profile. Once you log in, you will have a separate area for securepages to include content that you require.

3 months Search Engine Optimisation campaign
Once your site is live, you will receive SEO activity and ranking reports for the first three months. After the first three months, you have the option to continue the SEO work.

Hosting
The hosting fee covers the ongoing costs associated with the running and maintenance of the website, the servers, the database, backups, the software licences, email services (where appropriate), and other miscellaneous costs associated with ensuring that the site and the email services are running 24 hours a day, 7 days a week.

There is also a small component related to continual development of the website and administration facilities, for example, upgrading the contact form on the website to include image verification (to prevent spam), enquiry management facilities in the CMS, and email auto responders (an automated email is sent to the person after they have filled in the contact form).

These regular upgrades are not separately charged but part of the hosting and maintenance services that Regency provide.

The domain name registrations are not included in the standard hosting fees, but are a small additional charge, usually paid annually or bi-annually.

Copywriting
All costs are for design and engineering of your website. Copywriting and content is not included. This service is available and can be quoted separately.

Payment
Payment of your account becomes due in part at the start of engineering at 25% of total costs, with the remaining balance due in full at completion of engineering.

It is in your best interest to supply content as soon as possible at the start of build, unless copywriting services have been requested as part of this agreement. You are responsible for provision of your own content for your pages.

Content can be added before, during and after the engineering has been completed and live. This will not effect or delay the build of your web site, therefore should not delay settlement of your account.
